Letters and regulatory filings
When AMLO writes, CDD Core checks every name in the letter against the customer book with the same matcher used for screening, and prepares the answer. Every report the institution files is entered in the filing register with a system-issued number, the start point that applied, the deadline it is measured against, and the documents and receipt.
Who may do it: Maker and Compliance Officer (record letters) · Checker and Approver (sign each line of a letter) · Compliance Officer (answer sheets, filing register) · Head of Compliance (approves every filing; AMLO contact person) · Internal Audit (read).
Letters from authorities
Section titled “Letters from authorities”- Complete Record letter: letter number, date on the letter, date received, the file (PDF or PNG), and one name per line.
- The system matches every name against the customer book at once. Press Screen again to match afresh.
- Confirm or clear each line, then send it for signature. Every line is signed.
- Once signed, each customer’s answer appears on the AMLO answer sheet, in the order and fields the form asks, with the full identity number. The officer delivers the answer; nothing leaves the system from this screen.
The filing register
Section titled “The filing register”- Compliance Officer completes Request report number: receiving authority, report type, start point and its date, the letter being answered if any, and the customers involved. Press Request.
- Prepare and file the report, then press Record submission and attach the filed documents and the receipt.
- Head of Compliance approves the entry or returns it.
The 18-digit report number is built from the institution’s 3-digit AMLO code and 5-digit head-office branch code. Every entry is kept for five years from submission with its documents, receipt and approval.
Deadlines the system measures
Section titled “Deadlines the system measures”| Report | Due | Counted from |
|---|---|---|
| AMLO 1-01 cash transactions | 15th of the next month | Month of the transactions |
| AMLO 1-02 asset transactions | Shown as “not set” — the form has no day count | — |
| AMLO 1-03 suspicious transactions (STR) | 7 days | The resolution to report |
| AMLO 1-05-9 | 15th of the next month | Month of the transactions |
| HR-REPORT | 15 days | Confirmation that the restriction was carried out |
| ปกร. 03 / ปกร. 04 | 15 business days | Date on the letter (03) or date received (04) |
| Reports to other regulators | As recorded | — |
The start point shown is the default; the officer records the start point that actually applied, and that is what is kept. A report type outside the institution’s obligations does not appear at all.
The STR clock
Section titled “The STR clock”- Triage and sign-off times for alerts (48 hours and 24 hours by default) belong to the Head of Compliance and run before the statutory clock.
- The resolution date is entered, not derived, by the Compliance Officer with the minutes reference. The system stamps who entered it and when.
- The envelope: the institution’s assembly and authorisation times together cannot exceed 7 days; a setting that would breach it is refused, naming the deadline.
Fund business
Section titled “Fund business”Suspicious-transaction work starts from what officers hold: letters from AMLO, screening results, restriction cases and their own findings. When the committee resolves to report, the Compliance Officer takes a number, prepares the form, files it in AERS and records the submission.
DA Dealer edition
Section titled “DA Dealer edition”- The system proposes 1-02 entries from trading transactions at or above THB 5,000,000.
- A 1-03 follows a monitoring result or another fact the committee resolves to report.
- Complete entries download as AERS v3.0 XML, sealed with a SHA-256 hash when recorded. The officer encrypts the file with AMLO’s tool and files it.
- For a ปกร. 03 restraint report, the holdings schedule comes from Trading Core and is attached to the notice.
What the system does or refuses
Section titled “What the system does or refuses”- No report number without the institution’s AMLO and branch codes.
- No form borrows another form’s clock.
- Late filings are counted on the register, as a fact.
