Organisation structure

The organisation structure is entered once and used by both modules. ERM Core files every register at a unit of it and grants every role at a level of it; BCP Core builds the call tree, the status views and the team rooms from it.

Who may do it: the administrator, for every entity; HR and the Entity Risk Manager, for their own entity. Group relationships between companies — parent, subsidiary and the reporting lines between them — are set on the platform, not by a company. See Roles and permissions.

Loading the organisation structureThe administrator uploads the standard workbook (Units and People sheets) or an org-chart image or PDF. The system reads units, positions and people and shows them in the review diagram. The administrator checks the tree and resolves every flag, or uploads again. Nothing is saved until Commit. The commit is recorded in the audit log and becomes the one organisation structure that ERM Core and BCP Core both use.FIX OR UPLOAD AGAINStandard workbookUnits · People sheetsOrg chartimage or PDFReadunits · positions · peopleReview diagramcheck the treeresolve every flagCommitrecorded in the audit logOrganisation structureentered onceERM Coreregisters · roles · roll-upBCP Corecall tree · status · roomsLEGENDSourceStepYour checkRecordModuleFix path
Upload the workbook or the org chart, check the review diagram, then commit. Nothing is saved before the commit.
  1. Open Organisation and choose Load structure.
  2. Download the standard workbook and fill in its two sheets:
    • Units — one row for each division and team, with the unit it sits under and the position that heads it;
    • People — one row for each person, with name, e-mail, unit and position.
  3. Upload the workbook. The system reads the units, positions and people.
  4. Check the review diagram (below) and choose Commit.

Load the structure from an org chart image or PDF

Section titled “Load the structure from an org chart image or PDF”
  1. Open Organisation, choose Load structure, then Org chart image or PDF.
  2. Upload the image or PDF of your org chart.
  3. The system reads its boxes and lines into units and positions, and shows the result in the review diagram.
  4. Add the people — through the People sheet or one by one in People and accounts.
  5. Check the review diagram and choose Commit.

The review diagram draws the tree exactly as it will be saved, and flags what needs your decision:

  • a unit with no unit above it;
  • two units with the same name under the same parent;
  • a person with no unit, or an e-mail used twice;
  • a unit with no head position.

Fix each flag in the diagram, or correct the file and upload it again. Commit saves the structure; until then nothing is changed.

  • Add, rename or move a unit in Organisation, or load an updated workbook — it goes through the same review diagram.
  • A unit that is no longer used is closed, not deleted: the registers and history filed under it stay with it.
  • The call tree, the status views and the team rooms follow the structure as it stands; there is no separate list to update.
  • One structure, both modules. ERM Core and BCP Core read the same structure; neither keeps its own copy.
  • Nothing before Commit. An upload changes nothing until the review diagram is committed.
  • A unit with people or records cannot be deleted. Close it instead.
  • Group links are set on the platform. A company cannot attach itself to another company’s tree.
  • Every change is recorded in the audit log: who, when, before and after.
